POS Billing

POS Billing is the counter screen you use when the bill needs to be a proper printed invoice: a prescription sale, a customer who wants a tax invoice, a bill with several items and different discounts, or a Schedule H or H1 medicine that has to go into the register. You search a medicine, add it to the cart, set quantity and discount, check the totals on the right, then tap Complete Sale. The finished invoice appears on screen ready to print or send on WhatsApp.

What you can do here

  • Search your stock by medicine name or by generic name.
  • See the MRP, the stock left and the nearest expiry before you add an item.
  • Build a cart with any number of items, each with its own quantity and its own discount percent.
  • Record buyer name, prescription number and prescriber for Schedule H and H1 medicines.
  • Give a discount on the whole bill, in rupees or in percent.
  • Round the grand total to a whole rupee.
  • Take part payment now and leave the rest as a balance to collect.
  • Pick the payment mode: Cash, UPI, Card or Credit.
  • Attach the bill to a customer by name and phone.
  • Print the invoice, or share it on WhatsApp from your own number.

POS Billing compared with Quick Sale

Both screens sell from the same stock and both create the same kind of invoice. They are built for different moments at the counter.

Use POS Billing when the paper matters. Use Quick Sale when speed matters.

Make a full invoice

Steps

  1. Open POS Billing. The search box is already selected, so you can start typing straight away.
  2. Type at least 2 letters of the medicine name or its generic name in the box marked "Search products by name or generic (min 2 chars)…". The app waits a moment after you stop typing, then shows up to 15 matches.
  3. Look at the line under each result. It shows the generic name, the GST percent, then the MRP, the stock left and the expiry of the batch that expires first.
  4. Tap Add on the medicine you want. It goes into the Cart below and the search box clears itself, ready for the next item.
  5. In the Cart, tap the Qty box and type how many you are selling.
  6. If you are giving money off on that one item, type a number in the Disc % box on the same row. The Line Total column updates as you type.
  7. Repeat for every item on the bill.
  8. Check the Bill Summary card on the right: Taxable, CGST, SGST and Grand Total.
  9. Choose the Payment mode: Cash, UPI, Card or Credit.
  10. Tap Complete Sale. The button also shows the amount, for example "Complete Sale · ₹248.00".
  11. The invoice opens on screen with its invoice number. A green message confirms it, for example "Sale complete, invoice INV-00042".

Good to know

  • The Add button is greyed out and a red Out of stock tag is shown when there is no usable stock. Batches that are already expired are never offered.
  • Adding the same medicine twice does not create a second row. It adds 1 to the quantity of the row already in the cart.
  • Quantity is always a whole number and never goes below 1.
  • Discount percent on a line is kept between 0 and 100.
  • Tap the bin icon at the end of a row to remove that item from the bill.
  • Your cart is kept for the browser tab you are working in. If you switch to another screen and come back, or refresh the page, the items, the customer details, the discount and the payment mode are still there. Closing the tab clears them.
  • Clear cart under Complete Sale empties the whole bill, along with the customer, discount and prescription boxes.
  • You do not pick a batch. When you complete the sale the app takes stock from the batch that expires first, and moves to the next batch if one batch is not enough.
  • If stock runs short while the bill is being saved, the sale is refused with a message and your cart is kept so nothing is lost.

Sell a Schedule H or H1 medicine

Steps

  1. Add the Schedule H or H1 medicine to the cart as usual. It carries an orange Sch H or Sch H1 tag in the search list and in the cart.
  2. A yellow panel appears under the cart: "Schedule H/H1, prescription details required".
  3. Fill Buyer name * with the patient or buyer name.
  4. Fill Rx number * with the prescription number.
  5. Fill Prescriber (optional) with the doctor's name if you have it.
  6. Finish the rest of the bill and tap Complete Sale.

Good to know

  • Buyer name and Rx number are compulsory. If either is blank the sale stops with the message "Buyer name and Rx number are required for Schedule H/H1 items".
  • Prescriber is optional. If you leave it blank nothing is saved for it.
  • These details go into the schedule register against every Schedule H and H1 item on that bill.
  • The yellow panel only appears while a scheduled medicine is in the cart. Remove it and the panel goes away.

Give a discount

You can discount one item, or the whole bill, or both.

Steps

  1. For one item only: type the percent in the Disc % box on that cart row.
  2. For the whole bill: in the Bill Summary card, type the amount in the box under "Discount on the whole bill".
  3. Tap the button next to it to treat that number as rupees, or the % button to treat it as a percent of the item total.
  4. Check the summary. When a bill discount is set, the card shows Item total, then Discount in green, then the tax lines and the Grand Total.

Good to know

  • Discount is on every plan, no upgrade needed.
  • A percent above 100 is refused with "Discount % cannot exceed 100".
  • A rupee discount larger than the bill is refused with "Discount exceeds bill amount".
  • A negative or nonsense number is refused with "Enter a valid discount".
  • While any of these messages is on screen the Complete Sale button stays disabled, so a wrong bill cannot be saved.
  • A whole-bill discount is spread across the items in proportion to their value, so the tax on each item is worked out after the discount, not before.

Round the total and take part payment

Steps

  1. In the Bill Summary card, tick or untick Round to whole ₹. It is ticked by default. The amount added or taken off is shown on the same line.
  2. To take part of the money now, type the amount in the box under "Amount received now (blank = paid in full)".
  3. If that is less than the total, a yellow box appears showing Balance to collect and the words "It will show under To Collect against this customer".
  4. Type the Customer name * in the yellow box.
  5. Type the Phone (for WhatsApp reminders) if you have it.
  6. Tap Complete Sale.

Good to know

  • Round off and part payment are on every plan, no upgrade needed.
  • Leave the received box blank when the customer is paying in full. The box shows the full amount as faint placeholder text so you know the figure.
  • You cannot enter more than the bill total. It is refused with "Amount received exceeds bill total".
  • When a balance is left you must give a name or a phone number, otherwise the sale stops with "Add the customer's name or phone to track the balance to collect". A balance has to belong to somebody.
  • The unpaid amount is also printed on the invoice as Paid and Balance to collect.

Attach the bill to a customer

Steps

  1. Enter an amount in "Amount received now" that is less than the total. The customer boxes appear.
  2. Type the Customer name and the Phone.
  3. Tap Complete Sale.

Good to know

  • If the phone number you type already belongs to a customer in the app, the bill is joined to that same customer instead of creating a duplicate.
  • If the phone is new, or you gave only a name, a new customer record is created. If you gave a phone but no name, the customer is saved as "Walk-in".
  • If you leave both boxes empty and the bill is fully paid, the sale is saved with no customer attached. That is normal for walk-in counter sales.

GST, tax invoice and simple bill

Steps

  1. Go to Settings, then the Billing mode card.
  2. Tick or untick Charge & show GST on bills.
  3. The line below tells you where you stand: "GST bills (tax invoice)" or "Simple bills (no GST)".
  4. To print your GST number on bills, fill GSTIN (optional) in the Shop details card on the same page.
  5. Tap Save settings. New bills follow the new setting.

Good to know

  • With GST on, the printed document is headed Tax Invoice. It carries your GSTIN, a GST percent column, and Taxable, CGST and SGST columns per item, plus Taxable value, CGST and SGST in the totals.
  • With GST off, the printed document is headed Bill. The tax columns and the tax totals are removed and the customer sees a simple total. Use this if your shop is below the GST turnover limit.
  • The GST percent used is the one saved on each product, so a bill can mix 5 percent and 12 percent items without any extra work from you.
  • MRP already includes GST. The app works backwards from the amount charged to find the taxable value and the tax, then splits the tax in half as CGST and SGST.
  • The GST figures in the Bill Summary are marked "Taxable (preview)" and the note "Preview only, final GST split is computed at billing". The tiny paise differences come from the exact batch prices used at the moment of billing. The invoice you print is the true one.
  • Only the shop Owner can open Settings and change the billing mode. A Counter Staff or Accountant login sees a message asking them to speak to the Owner.
  • Monthly GSTR-1 and GSTR-3B summaries for your accountant live in Reports, not here. Pro: GST returns export is a Full plan feature. Write to info@entyti.com to switch it on.

Steps

  1. Finish a sale. The invoice screen opens by itself.
  2. Tap Print to send it to your printer. The screen buttons and menus are left off the paper, only the bill prints.
  3. Tap WhatsApp to open WhatsApp with a ready message: your shop name, the invoice number, the date, up to 10 item lines and the total. Choose the customer and send.
  4. Tap New Sale to clear the invoice and go back to an empty billing screen.

Good to know

  • The printed bill carries your shop logo, shop name, address and GSTIN if you have filled them in Settings.
  • Each printed line shows the batch number and the expiry of the batch that was actually sold, which is what customers and inspections ask for.
  • The Disc% column only appears on the print when at least one item on that bill had an item-level discount.
  • The WhatsApp message is sent from your own WhatsApp on your own phone or on the computer. Nothing is sent automatically in your name.
  • Pro: automatic WhatsApp sending of bills is a Full plan feature. Write to info@entyti.com.
  • The invoice you print says "Goods once sold will not be taken back or exchanged" at the bottom.

Invoice numbering

Good to know

  • Every completed sale gets the next number in one running series. It is shown as INV- followed by 5 digits, for example INV-00042.
  • The number is given by the app when the sale is saved. You cannot type it, edit it or skip it, so the series stays unbroken for GST and for audits.
  • POS Billing and Quick Sale share the same series. A Quick Sale bill and a POS bill never carry the same number.
  • The same number is shown on the printed invoice, in the confirmation message, and in the WhatsApp text.
  • Returns get their own separate series. A shop with GST switched on also gets a return note number, CN- followed by 5 digits; a shop with GST off gets a plain RET- number instead. Pro: printing the Return note document is a Full plan feature, and the return itself is still recorded on every plan. Write to info@entyti.com.

Common questions

Nothing shows when I type. Why? You need at least 2 letters before the app starts searching. There is also a short pause after your last keystroke, and a small spinner appears in the search box while it looks.

I searched a medicine I definitely stock, but it says out of stock. The app only offers batches that still have quantity and have not passed their expiry date. If every batch is expired or empty, the item cannot be sold until you receive fresh stock.

Can I choose which batch to sell from? No. The app always takes from the batch that expires first, and moves on to the next batch if the first one runs out. This keeps old stock moving and is done for you.

The total in the summary is a few paise different from the printed invoice. Is that a mistake? No. The summary is a preview based on the MRP of the nearest-expiry batch. The invoice is calculated on the exact batches actually used. The invoice is the correct figure.

Complete Sale is grey and I cannot tap it. One of three things: the cart is empty, the sale is already being saved, or there is a red message about the discount or the amount received. Fix the red message and the button comes back.

I moved to another screen in the middle of a bill. Is my cart gone? No. The cart, the customer details, the discount, the amount received and the payment mode are kept for that browser tab and come back when you return to the screen. They also survive a refresh. Closing the tab does clear them, and searching a medicine or saving the sale still needs internet.

The sale failed with a message. Did it take my stock? No. When a sale fails the cart stays exactly as it was so you can correct the problem and try again. Stock only moves when the sale succeeds.

It said the sale was saved but the invoice did not open. What now? The sale is safe and the stock has moved. The cart is cleared for you. Open Reports, the Daily Sales tab, tap the bill row and use Open / Print Invoice.

Can I bill a medicine in loose tablets on this screen? No. POS Billing sells in the product's own unit. Use Quick Sale when you need to break a strip and sell single tablets.

Can I edit or delete a bill after saving it? Not from this screen. Once the invoice number is issued the bill stands. Handle a mistake or a customer return through the return flow on the invoice.

Where does the pending money go? Into To Collect, against the customer whose name or phone you entered. You can send that customer a polite reminder on WhatsApp from there.

Does choosing Credit as the payment mode create a pending balance? On this screen the balance comes from what you type in "Amount received now", and the customer boxes only appear once a balance is left. So a Credit bill you save as fully paid has no customer on it and nothing lands in To Collect. Do remember that Outstanding counts a bill as a credit bill whenever the mode is Credit and the bill is attached to a customer, so keep Credit for money you really are yet to receive.
